If you run a trades or small business, you already know the problem. The phone rings while you are under a sink, up a ladder, or halfway through a rewire. You cannot answer it. By the time you call back, the customer has already rung someone else.
An AI receptionist is designed to solve exactly that. In simple terms, it is a piece of software that answers your phone, speaks to the caller in a natural voice, works out what they need, and passes the details on to you. It never sleeps, never takes a lunch break, and never puts anyone on hold.
How does it actually work?
It is less complicated than it sounds. There are four stages, and once it is set up you do not have to do anything.

It handles well: new enquiries, quote requests, appointment booking, answering FAQs about pricing and coverage, taking messages, qualifying whether a job is worth your time, and out-of-hours calls.
It handles less well: genuinely complex technical diagnosis, emotionally difficult conversations, and complaints. For those, a good AI receptionist should recognise it is out of its depth and either transfer the call or flag it to you as urgent.
Will customers know they are talking to AI?
Some will, some will not. Modern voice AI is good enough that many callers do not notice, but we always recommend being upfront. A simple line like "You are through to our automated assistant" costs you nothing and builds trust. In practice, most customers care far more about getting an immediate answer than about who gave it to them.
What does it cost?
Prices vary widely depending on call volume and how much customisation you need. As a rough comparison: a part-time receptionist in the UK costs several hundred pounds a month at minimum. A traditional answering service typically charges per call or per minute, which gets expensive fast if you are busy. An AI receptionist usually sits somewhere well below both, with a predictable monthly fee.
The more useful question is not what it costs, but what missed calls are already costing you. If you miss five enquiries a week and your average job is worth £200, that is £4,000 a month walking out of the door.
Is it right for your business?
An AI receptionist makes most sense if you regularly miss calls because you are on the tools, if a meaningful number of enquiries come in outside normal hours, if you are losing work to competitors who answer faster, or if you are spending your evenings returning calls you could not take during the day.
It makes less sense if your call volume is very low, or if every single enquiry genuinely requires your personal technical judgement from the first second.
